Answer
Implement solar software by agreeing delivered scope, mapping authoritative records, configuring roles and testing operational outputs. Reconcile transferred data and manual dependencies, then make cutover a documented acceptance decision with recovery and support responsibilities. Software access and successful uploads do not establish usable records, professional review or external project approval.
Solar software implementation turns a purchased capability into a working operating environment. The work includes configuring responsibilities, reconciling transferred data, testing outputs and deciding when the team may use the new workflow. Access to an account is not operational acceptance.
This guide addresses the transition from selection to accepted operation. Use the software trial guide for procurement evaluation and the adoption guide for ongoing role readiness. Implementation records do not replace project engineering, authority approval or privacy and contractual decisions.
Agree the delivered scope in writing
List included functions, project types, users, integrations, templates, exports and support responsibilities. Separate capabilities demonstrated in the purchased configuration from future requests. Assign an internal implementation owner and receiving process owners; a supplier cannot decide which project evidence your team considers sufficient.
Write acceptance tests before configuration begins. A test should name its input, expected observable result, reviewer and failure consequence. “Proposal module enabled” is weaker than “the receiving reviewer can trace the proposal to the accepted design and financial basis.”
NASA’s interface-management guidance discusses responsibilities and controlled interfaces. Use it as a cross-domain record-management reference, not a solar implementation standard.
Map records before transferring them
Inventory the records that need to remain accessible: project identifiers, source files, source dates, design revisions, equipment selections, assumptions, approvals and customer-facing outputs. Decide which system will own each field after implementation.
| Mapping item | Question to resolve |
|---|---|
| Project/site identifiers | Can transferred files still be linked to the correct building and opportunity? |
| Energy and interval data | Are units, timestamps, timezone, meter boundary and missing intervals preserved? |
| Design and model versions | Can a reviewer distinguish the accepted basis from superseded work? |
| Equipment and geometry | What fields are supported, transformed or lost? |
| Approvals and permissions | Does the transfer preserve the decision basis and authorized access? |
| Attachments and exports | Can the receiving team open and use them after cutover? |
A file that uploads successfully may still be incomplete or semantically wrong. Reconcile source and destination samples and record exceptions. For interval energy, compare like units and time boundaries; do not add average kW values and call the result kWh. Imported grid consumption is not automatically total behind-the-meter load.
Keep unsupported historical artifacts accessible under the reviewed retention policy instead of silently recreating them as new approved records. A migration plan needs explicit authorization for deletion, account closure or irreversible replacement.
Test configuration with operational failure cases
Run an accepted input package through the intended roles. Then test a missing source, conflicting version, equipment substitution and restricted user. Check where the system stops, what must be handled manually and which reviewer owns release.
Test exports outside the originating tool. The receiving person should identify the site, revision, source basis, limitations and intended use without private coaching. Inspect integrations for field mapping, duplicate handling, failure reporting and recovery; the fact that two products advertise an integration does not prove your required behavior.
Make cutover a decision with conditions
Identify which projects move, which remain in the previous workflow, and who controls changes during transition. If systems run in parallel, name the authoritative record for each artifact. Do not let two active copies both appear approved.
Keep a recovery plan for failed transfer or unavailable service. Define who pauses affected work, restores access, reconciles changes and communicates with receiving teams. Test the required recovery path rather than assuming that an export is a complete backup.
Release to operation only when responsible owners accept the demonstrated scope and remaining conditions. A permitted configuration workaround is not an exemption from engineering review or a basis for changing customer commitments.
